PERSONAL ASSISTANT MAIN ACTIVITIES
As a Personal Assistant your main activities are:
- Provide personal support and assistance to executive staff by organizing their activity and accomplishing all that is needed to facilitate its day-to-day missions, such as agenda and mailbox management, organization of meetings and workshops, offsites, support in travel arrangements, when necessary, as well as anticipation of team facilitation and support on ad-hoc department and/or activities.
Perform frequently a range of administrative tasks, such as support in expense reporting, time-tracking and IT incident management.
Work internationally to organize complex and global meetings, events and engagement activities when needed.
Contribute to team cohesion, team knowledge base and best practices, actively participate to the team governances.
Your Profile
What do we expect from you?
Fluent in English and French (written and oral)
Previous experience in a complex international environment, with both global and local activities
Proficiency in MS Pack Office: Word, Excel, PowerPoint, Outlook
Strong ability to be concise and clear in note writing
Strong organizational, decision-making and planning skills
Excellent time management skills and ability to multi-task and prioritize work
Soft Skills and Competencies :
Excellent interpersonal skills, effective verbal, listening and written communication skills to facilitate seamlessly the relationship with senior management
Anticipate needs and proactively bring together resources to fill these needs
Must maintain the highest level of confidentiality at all times.
